Does AppFolio Answer Maintenance Calls?

Chris Kave·September 3, 2026·3 min read

It's 11pm on a Sunday and you're on call. A tenant in one of your Burlington units has water coming through the kitchen ceiling. Does AppFolio pick up, or do you?

Now it can, for maintenance. AppFolio launched Smart Maintenance and its Contact Center in November 2025. It's a 24/7 service that answers maintenance contacts by text, call, or the resident portal, sorts urgency within minutes, and dispatches a pre-approved vendor. And it opens the work order for you. If you're on AppFolio and you've turned it on, that 11pm call gets handled.

So if you've heard AppFolio already does everything, here's the honest answer. For maintenance, it nearly does. But "yes, for maintenance" isn't "yes, for everything," and the gap is where your money actually leaks.

So does AppFolio answer maintenance calls now?

Yes, if you're on AppFolio and you've enabled it. Their Realm-X Maintenance Performer can reply to a resident, read a photo they send, walk through basic troubleshooting, flag an emergency, and route the job to a vendor. That's real, and it's good. Fast maintenance response protects renewals, and 72% of tenants name unresolved maintenance as their top reason for not renewing (PropertyMeld). So if your only gap is after-hours maintenance and you already pay for AppFolio, turn the feature on before you buy anything from anyone. I mean that.

Here's the part the announcement doesn't lead with.

What does Smart Maintenance cover, and what does it miss?

Maintenance. That's the whole point, and it's also the whole edge of it.

It answers the leaky-faucet call and the no-heat call. It does not answer the call from the person who saw your listing and wants a showing. That's the leasing call. The one that fills your next vacancy. In Vermont, where the rental vacancy rate is 3.2% versus 7.2% nationally (FRED/St. Louis Fed) and Burlington rent runs $2,546 to $2,615 a month (RentCafe), the prospect who doesn't get a callback just signs somewhere else. AppFolio's maintenance AI wasn't built to catch that call, and it doesn't.

Second miss: it lives inside AppFolio. It triages into AppFolio, it dispatches AppFolio's vendor list, it creates the work order in AppFolio. If a chunk of your operation runs outside that one system, and for most managers it does, Smart Maintenance doesn't see it. It's an AppFolio feature. It helps with the AppFolio part.

Who decides a drip is a flood?

You do. Always.

Software answers the call and sorts the obvious stuff. But no system should decide on its own whether "there's water everywhere" is a mop job or a burst pipe, or whether "I smell gas" gets a morning work order or a phone call to you right now. Those escalation rules are yours to write, because you're the one holding the liability when they're wrong. We covered how to draw that line for after-hours calls here. Any tool you run, AppFolio's included, is only as safe as the rules you set behind it.

So what's actually left for someone like us?

Two parts its maintenance line doesn't touch: the leasing call that books your next lease, and everything outside AppFolio.

We don't replace AppFolio. If its Contact Center covers your case, use it, and we'll tell you so on the first call. Maybe you've tried an answering service and it just took a message. That's the difference. What we build is 24/7 answering for the calls it wasn't made for, wired to your systems so a booked showing or a logged work order lands where you already work, not on a pink slip you key in Monday. Around 70 to 80% of tenant calls are routine and automatable (Leaping AI). That's the load keeping you at your desk instead of the work that pays.

What connects to what depends on your exact stack, so we confirm it against your setup before we quote. When there's a build, you own it. We bill for our time and materials and talk through the rate once the scope is clear (how we bill). Software and usage costs are separate, and your agreement covers ownership and support. Any time savings we describe are projected from what we see across client work, not a promise.

No. That's backwards. Buildium ships with no built-in phone AI at all. Inbound calls and after-hours messages still hit voicemail or a human inbox. Buildium has good maintenance tools and a "Lumina" AI that summarizes tasks and auto-closes work orders, but voice answering needs a third-party add-on from its marketplace, and work-order creation over the API generally needs the Premium plan. So switching from AppFolio to Buildium doesn't get you phone answering. It removes the one you'd have had.

Right now, probably voicemail, or you. Across multifamily, 60.8% of calls go unanswered and 80% of voicemail callers just hang up (Digible/Fiona). AppFolio's maintenance AI is built for maintenance, so the prospect calling about a unit isn't its job. In Chittenden County's tight market, a missed showing call is a missed lease. That's the first call we'd point 24/7 answering at.

Yes. With Smart Maintenance enabled, its AI handles routine after-hours maintenance contacts, dispatches pre-approved vendors, and opens work orders without waking anyone. You still define which situations break through to a human, and you should.

No, neither syncs with QuickBooks by design. If your books live in QuickBooks, that reconciliation is a separate bridge, and a common gap we get asked to close.

We'll map what Smart Maintenance handles for your setup, where the leasing and after-hours gaps are, how your emergency escalation should route, and whether the fix is turning on a feature you already pay for or building what's missing.
