Why Your Scheduling Software Doesn't Fix the Missed Call Problem

Say you're a contractor in Essex Junction paying over $100 a month for Housecall Pro. You've got a slick app, mobile invoicing, scheduling, the whole thing. And you're still missing five or six calls a day.

"I thought this software was supposed to handle all that."

The answer is no. It wasn't.

What scheduling software actually does

Scheduling software like Jobber, Housecall Pro, and ServiceTitan is built to manage work after the call is answered. Dispatch. Route planning. Invoicing. Customer history. Time tracking. Payment processing.

All of that is real value. If you're running more than three or four jobs a week, you probably need one of them.

But none of them answer your phone.

When a customer calls at 10am and you're on a roof, the call goes to voicemail the same way it did before you paid for Housecall Pro. The software doesn't care. It wasn't built for that.

The gap these tools leave wide open

Here's what happens in the actual workflow:

The customers who call you instead of using a form are a specific type. They're usually in a hurry. Their water heater is leaking right now. Their furnace stopped working. They don't want to navigate to a website, fill out fields, and pick from dropdowns. They want to talk to a person and hear somebody say "I can be there Thursday."

A national MIT study found that 78% of customers go with the first business that responds. For emergency trades calls, that number is probably higher. When someone's basement is flooding at 8pm, they're not waiting for a form response.

What about the voicemail-to-text feature?

Most contractor software now converts voicemails to text. Housecall Pro has it. ServiceTitan has it. It's a nice feature.

But it doesn't help because most callers don't leave voicemails anymore. The 411 Locals study found that 62% of calls to small businesses go unanswered, and the vast majority of those callers never leave a message. They just hang up and call the next number.
